General Terms and Conditions (GTC)
for the Coaching Services of Heartaq Coaching

Legal Notice
This English translation is provided for convenience and informational purposes only.
Heartaq Coaching is a business established in Germany and subject to German law.
In the event of any discrepancies, inconsistencies or differences in interpretation between this English version and the original German version, the German version ("Allgemeine Geschäftsbedingungen") shall prevail and shall be legally binding.
- Scope
These General Terms and Conditions (GTC) apply to all coaching services provided by Heartaq Coaching, owned and operated by Leandri Meyer, to consumers and business clients.
They apply to all coaching services booked through the website, by email or by other agreed means, including but not limited to:
- The HEART Journey
- The HEART Reset
- The HEART Space
- Individual Coaching
- Group Coaching Programs
- Online Coaching
- Complimentary Discovery Calls (Heart2Heart Call), where these lead to a coaching agreement.
Any conflicting terms and conditions of the client shall not apply unless expressly agreed to in writing.
- Understanding Coaching
Heartaq Coaching supports mothers through personal growth, life transitions and transformational coaching.
The purpose of coaching is to support the client in:
- becoming more aware of her personal values,
- identifying her own needs,
- strengthening self-awareness,
- developing her own solutions,
- making self-directed decisions.
Coaching is a collaborative process.
Heartaq Coaching does not provide predetermined solutions or universally applicable answers. Instead, coaching creates a safe space in which the client can discover her own resources, perspectives and possibilities.
Responsibility for all decisions and their implementation remains solely with the client.
- Scope of Services
Heartaq Coaching provides coaching for personal development, self-reflection and support throughout the transitions of motherhood.
Coaching is intended for personal development and expressly does not replace:
- psychotherapy,
- psychological counselling,
- psychiatric treatment,
- medical diagnosis or treatment,
- legal or tax advice.
No promise of healing or guaranteed outcome is made.
No specific result or success is owed.
- Formation of the Coaching Agreement
A coaching agreement is concluded once the client requests or books an appointment through the Microsoft Bookings system integrated into the Heartaq Coaching website and the booking is expressly confirmed by Heartaq Coaching.
Alternatively, a coaching agreement may also be concluded through acceptance of an individual offer or through written confirmation of an appointment by Heartaq Coaching.
The agreement applies regardless of whether the coaching is delivered online or in person.
- Services Included
The specific scope of services depends on the coaching program selected or on an individual agreement.
Depending on the chosen offer, services may include:
- coaching sessions,
- online coaching,
- group coaching,
- reflection exercises,
- workbooks,
- digital resources,
- supporting materials.
The exact content and scope are determined by the booked program.
- Fees and Payment
The prices published at the time of booking or individually agreed shall apply.
Unless otherwise agreed, payment is due in full before coaching begins.
Heartaq Coaching may, at its sole discretion, offer payment by instalments.
There is no entitlement to an instalment plan.
Payments are currently processed via Stripe or based on an issued invoice.
In accordance with Section 19 of the German VAT Act (Kleinunternehmerregelung), no VAT is charged or shown on invoices.
- Appointments
Appointments are generally scheduled through the Microsoft Bookings system integrated into the website.
Individual scheduling arrangements remain possible by mutual agreement.
Confirmed appointments are binding.
If Heartaq Coaching needs to cancel an appointment for important reasons, a replacement appointment will be offered as soon as reasonably possible.
No further claims shall arise from such cancellation.
- Rescheduling and Cancellation
Appointments may be rescheduled free of charge up to 24 hours before the scheduled session.
Each coaching session may be rescheduled a maximum of two times.
A coaching session will be considered completed if:
- it is cancelled less than 24 hours before the scheduled time,
- the client fails to attend without notice,
- or the appointment is rescheduled for a third time.
In these cases, there is no entitlement to a replacement session or refund unless Heartaq Coaching agrees otherwise in writing.
- Withdrawal and Refunds
Once a coaching program has commenced, payments already made are generally non-refundable.
This does not affect the client's statutory right of withdrawal under applicable law.
- Client Responsibilities
Coaching depends on the client's active participation.
The client agrees to:
- attend scheduled sessions,
- participate openly and responsibly,
- make her own decisions.
Implementation of insights gained through coaching remains entirely the client's responsibility.
- Confidentiality
Heartaq Coaching treats all personal information shared during coaching sessions as strictly confidential.
Information will only be disclosed where:
- required by law, or
- the client has given express consent.
Participants in group coaching programs also agree to treat all personal information shared within the group confidentially.
- Online Coaching
Online coaching sessions are conducted via Microsoft Teams.
Access details or the Microsoft Teams meeting link will be provided together with the appointment confirmation or prior to the scheduled session.
The client is responsible for ensuring:
- a stable internet connection,
- suitable technical equipment,
- a quiet and uninterrupted environment.
Coaching sessions are not recorded.
- Intellectual Property
The HEART Method and all Heartaq Coaching programs, including
- The HEART Journey
- The HEART Reset
- The HEART Space
together with all workbooks, exercises, worksheets, concepts, texts, coaching methods and supporting materials are protected by copyright.
They are provided solely for the client's personal use.
Reproduction, distribution, publication, modification or commercial use—whether in whole or in part—is prohibited without prior written permission from Heartaq Coaching.
This applies in particular to the use of the HEART Method within the client's own coaching, consulting, training or educational services.
- Special Provisions for The HEART Space
The HEART Space is intended as a protected environment for mutual support, personal growth and respectful dialogue.
All participants agree to communicate respectfully, constructively and confidentially.
Discriminatory, offensive or harmful behaviour, or conduct that undermines the safety of the group, will not be tolerated.
Heartaq Coaching reserves the right to exclude participants from the community in cases of serious or repeated misconduct.
In such cases, any fees already paid will not be refunded.
- Coaching Materials
All documents, workbooks, exercises and digital materials provided during coaching are intended exclusively for the client's personal use.
Sharing, publishing or distributing these materials without prior written permission is prohibited.
- Liability
Heartaq Coaching accepts unlimited liability in cases of intent or gross negligence.
In cases of ordinary negligence, liability is limited to breaches of essential contractual obligations and only to the foreseeable damage typical for such contracts.
To the extent permitted by law, Heartaq Coaching accepts no liability for decisions, actions or omissions made by the client based on the coaching process.
- Health Notice
Coaching is not a substitute for medical, psychological or psychiatric treatment.
If physical or mental health concerns exist or arise during coaching, it is the client's responsibility to seek support from an appropriately qualified physician, psychologist, psychotherapist or other healthcare professional.
- Data Protection
Personal data is processed in accordance with the current Privacy Policy of Heartaq Coaching.
The Privacy Policy is available on the website at all times.
- Final Provisions
These Terms and Conditions shall be governed by the laws of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods (CISG), where legally permissible.
Should any provision of these Terms and Conditions be or become invalid or unenforceable, the validity of the remaining provisions shall remain unaffected.
The invalid provision shall be replaced by the applicable statutory provision that most closely reflects the economic purpose of the original provision.
